Inspector Mode in PassMyKitchen is a one-tap, read-only view that shows your HACCP plan, temperature logs, cleaning records, receiving logs, staff certifications, and uploaded documents on a single screen. When the health inspector arrives, you open Inspector Mode and hand them your phone. No searching for paper binders, no digging through files. Everything they need is organized by tab, timestamped, and ready for review.

What Inspector Mode shows
Inspector Mode organizes your compliance data into tabs that an inspector can swipe through. Each tab shows data in a clean, read-only format optimized for someone who did not set up the account.
HACCP Plan tab
Your complete, current HACCP plan with all sections: product description, process flow diagram, hazard analysis, critical control points, monitoring procedures, corrective actions, verification procedures, and recordkeeping requirements. The plan includes your state-specific regulatory references. This is the same plan you see in the HACCP Plan section of the sidebar, presented in a format designed for inspector review.
Temperature Logs tab
Your temperature readings for the selected date range (default: last 30 days). Each entry shows the equipment name, temperature in Fahrenheit, whether the reading was within safe limits, the timestamp, and who logged it. Out-of-range readings with corrective actions are visible. The inspector can see at a glance whether your temperature monitoring is consistent.
Cleaning Logs tab
Your cleaning and sanitization records for the selected date range. Each entry shows the area cleaned, cleaning type (Daily, Deep clean, or Sanitize only), checklist items completed, timestamp, and who logged it. For more on the cleaning log, see digital cleaning log for food businesses.
Receiving Logs tab
Your delivery inspection records. Each entry shows the supplier name, delivery temperature, packaging condition, whether the delivery was accepted or rejected, and any rejection reason. For details on receiving logs, see food delivery receiving log guide.
Water Logs tab (food trucks only)
For food truck operations, a Water Logs tab appears between the Receiving Logs and Allergen Logs tabs. It shows potable water and grey water tank level checks with timestamps. This tab only appears if your business type is Food Truck.
Allergen Logs tab
Your allergen cross-contamination prevention records. This tab shows documentation of allergen management activities, which is especially important for cloud kitchens managing multiple brands with different allergen profiles.
Staff tab
Your active staff members with their roles and certification status. Each staff member shows their name, role, and whether their certifications are current, expiring soon, or expired. The inspector can see that everyone on your team has valid food handler cards. For staff management details, see food safety staff management guide.
Documents tab
Your uploaded compliance documents: permits, licenses, food handler cards, insurance certificates, commissary agreements, and inspection reports. The inspector can view any document directly on your phone. For document management, see digital document vault for food businesses.
How to activate Inspector Mode
Step 1: Open Inspection from the sidebar
Tap "Inspection" in the sidebar navigation. The page loads Inspector Mode, which displays your business name, city, and state at the top.
Step 2: The screen switches to the Inspector Mode view
Inspector Mode replaces the regular app interface with a clean, tab-based layout designed for inspector review. The tab bar shows all available sections. An "Exit Inspection Mode" link in the top right returns you to the Today screen.
Step 3: Hand your phone to the inspector
The inspector can tap between tabs to review each category of your compliance records. All data is read-only. The inspector cannot edit, delete, or modify any of your records.
Step 4: Use the date range to show the right period
Temperature, cleaning, and receiving log tabs include a date range selector. The default is 30 days, which covers the most common inspection review period. The inspector can adjust this if they want to see a longer or shorter window (7, 14, 30, or 90 days).
Actions available in Inspector Mode
A floating action bar at the bottom of the screen provides three options:
- Print inspection report opens your browser's print dialog with all sections formatted for printing
- Email to inspector opens a modal where you enter the inspector's email address, select a date range (7, 14, 30, or 90 days), add an optional personal note, and tap "Send package" to email your complete compliance records
- Download package opens your full inspection package in a new tab
When to use Inspector Mode
During a health department inspection. This is the primary use case. When the inspector arrives, open Inspector Mode before they ask for records. Having your records organized and ready to present signals preparation and confidence.
During a self-audit. Review your own compliance records the way an inspector would see them. Are your temperature logs consistent? Are there gaps in your cleaning records? Are any staff certifications expired or expiring soon? A monthly self-audit using Inspector Mode helps you catch issues before an inspector does. For a complete health inspection preparation guide, see health department inspection prep.
When meeting with a landlord or event organizer. Some landlords, commissary operators, and event venues want to see your food safety documentation before approving you. Inspector Mode provides a professional presentation of your compliance system. Jake, a caterer in Phoenix, uses Inspector Mode when pitching event venues to show that his food safety documentation is thorough and organized.
When applying for permits. Some health departments want to review your food safety system as part of the permit application process. You can show them Inspector Mode on your phone or email them the inspection package directly from the app.
What inspectors look for in your records
Understanding what inspectors evaluate helps you prepare better records. The FDA Food Code emphasizes active managerial control, which means demonstrating that you are proactively managing food safety hazards every day.
Consistency. Are there temperature logs every day, or just sporadically? Inspectors look for regular, predictable entries. Thirty consecutive days of temperature readings at roughly the same times each day is far more impressive than scattered entries with multi-day gaps.
Accuracy. Are temperatures in realistic ranges, or suspiciously round numbers? Digital logs with decimal values (38.5°F, 139.2°F) look more credible than paper logs showing 40°F and 140°F every single day.
Corrective actions. When a reading was out of range, did you document what you did? An out-of-range reading with a corrective action ("Adjusted thermostat, rechecked in 15 minutes, reading now 39°F") is better than a gap in the record.
Current documentation. Is your HACCP plan current? Are food handler cards valid? Are permits up to date? Inspector Mode makes expired or missing documentation visible. For food handler card tracking, see track food handler card expiry dates.
Completeness. Do you have records for all required areas: temperatures, cleaning, receiving, staff certifications? Missing entire categories of documentation raises questions about your food safety system.
Tips for presenting your records to an inspector
Open Inspector Mode before the inspector asks. When you see the inspector arrive or when they introduce themselves, immediately open Inspector Mode. Do not wait for them to request documentation. Proactive presentation shows confidence and preparation.
Give a brief introduction. Say something like: "This shows my HACCP plan, 30 days of logs, and all my documentation. You can swipe between tabs." A quick orientation helps the inspector navigate efficiently.
Let the inspector navigate at their own pace. Hand them your phone and step back. Answer questions when asked, but do not hover or narrate every screen. Inspectors are experienced at reviewing records and will ask about anything they need clarified.
If they want a copy, use the email feature. Tap "Email to inspector" in the floating action bar, enter their email, and tap "Send package." The inspector receives a link to your complete compliance records. This is easier than printing and more professional than texting screenshots. For detailed sharing options, see how to share your HACCP plan with an inspector.
How Inspector Mode builds trust with inspectors
Inspectors see hundreds of food businesses. Most use paper binders (often incomplete), loose folders, or have no organized records at all. When you open a clean, organized, timestamped digital system, it immediately signals that you take food safety seriously.
Marcus from Austin Taco Truck opened Inspector Mode during a routine inspection. The inspector spent less time reviewing his records because everything was organized and accessible. The inspector commented that the digital format was easier to review than paper logs and that the timestamped entries were more credible. For more on preparing for food truck inspections, see our food truck health inspection guide.
The FDA's Retail Food Protection program emphasizes active managerial control as the foundation of food safety compliance. Inspector Mode presents evidence of that active control: daily monitoring, consistent documentation, and organized records that demonstrate a functioning food safety system.

Frequently asked questions
Can the inspector edit my records in Inspector Mode?
No. Inspector Mode is completely read-only. The inspector can view all tabs and scroll through your records, but they cannot edit, delete, or modify any data. The "Exit Inspection Mode" link returns to the regular app interface, which requires your login credentials.
What if the inspector wants a paper copy?
Tap "Print inspection report" in the floating action bar at the bottom of Inspector Mode. This opens your browser's print dialog with all sections formatted for printing. You can print directly or save as a PDF. You can also tap "Email to inspector" to send them a digital copy.
Do I need internet access for Inspector Mode?
Inspector Mode loads your compliance data from the server, so you need an internet connection to open it. Once loaded, you can continue reviewing the data. If you anticipate being in an area with limited connectivity (some food truck locations, for example), open Inspector Mode before losing your signal so the data is already loaded on screen.
Can I customize what Inspector Mode shows?
Inspector Mode automatically shows all your compliance data organized by category. You cannot hide specific tabs or entries. This is intentional: Inspector Mode is designed to present a complete, unfiltered view of your compliance records, which is what inspectors need to see. The date range selector lets you control how far back the log data goes (7, 14, 30, or 90 days).
How far back does Inspector Mode show my records?
The default view shows the last 30 days of logs. You can adjust the date range to show 7, 14, 30, or 90 days of records. Your HACCP plan, staff certifications, and uploaded documents are shown regardless of date range, as these are current-state documents rather than time-series data.
